Post subject: Clause numbering in paragraphs - how? Archived from groups: microsoft>public>word>numbering (more info?)
Hi there,
I am trying to define a template with numbered paragraphs
(aka. "clause numbering", legal style) in my document, with
sequential numbering of paragraphs within each chapter (Heading 1
style), as shown below.
Chapter 1: ....
1.1 Para one, chap 1
1.2 Para two, chap 1.
..
..
Section heading (no number)
1.5 Para five, chap 1.
..
..
Chapter 2: ....
2.1 Para one, chap 2
2.2 Para two, chap 2.
I have achieved sequential numbering within Chapter 1, but the chapter
number doesn't increment, and the para number revert to 1,
after the Heading 1 style marking the start of Chapter 2.
I actually get:
Chapter 2: ....
1.6 Para one, chap 2
1.7 Para two, chap 2.
One thing I noticed is that in the "Custom Outline Numbered List" dialog
box, when I select Level 1 in the "Previous Level Number" field, it seems
to apply Level 1 numbering (the "Number format" text field changes), but
it doesn't seem to remember the setting in the "Previous Level Number" field:
it remains blank instead.
I have put a screenshot at http://www.xmlw.ie/numparas/ to show this.
I would appreciate any help anyone can offer to resolve this issue.

FWIW, the "Previous level number" box always appears blank. It is used only
when you are actually choosing the level number in the "Number format"; if
you start with an outline-numbered list that is already set up this way, you
don't have to bother with that. It appears you've done everything right. If
you want to email me a sample doc, I'll take a look.

The problem was immediately apparent when I actually looked at your
document. You've got two styles linked to Level 2: Heading 2 and NumPara.
This is because you have two entirely separate lists instead of a single
outline-numbered list. You can see this if you use Modify Style | Format |
Numbering in a Heading 1 paragraph (which shows Heading 2 linked to Level 2)
and again in a NumPara paragraph (which shows NumPara linked to Level 2).
Note also that the Numbering dialog shown in your screen shot does not
include the ListNum field name you assigned to the list for Heading 1.
There are two possible ways to approach this, but, interestingly, only one
of them actually works. Remember, you must make the changes through Modify
Style in a Heading 1 paragraph (as Shauna emphasizes):
1. You can link NumPara to Level 3 (leaving Heading 2, unnumbered, at Level
2) and set it to restart numbering after Level 1. You can start with your
existing "chapclause" list and just add NumPara as Level 3. You'll need to
create the numbering for this level from scratch, but this does work.
2. You can link NumPara to Level 2 (as you've attempted to do), making it
part of the same list that includes Heading 1 (and *not* Heading 2). For
reasons I don't understand, this *doesn't* work, at least not without
further tinkering; it results in Heading 2 acquiring Heading 1 numbering.
